✉️ 1. Introduction – Why Email Writing Matters

Let me tell you a story. A few years ago, I had to send an important email to a client in London. I spent hours crafting it. I checked the grammar, the spelling, the tone. I felt confident. I hit send. A few hours later, I got a reply. It was short. It said: "I'm not sure what you're asking. Could you please clarify?" My heart sank. I had written a long, detailed email—but I had buried the most important point in the middle. The client missed it. I looked unprofessional.

That experience taught me a valuable lesson: writing a good business email is a skill. It's not just about grammar—it's about clarity, tone, and structure. In today's world, your email is often your first impression. A poorly written email can cost you a client, a job, or a promotion. (সেই অভিজ্ঞতা আমাকে একটি মূল্যবান শিক্ষা দিয়েছে: একটি ভালো ব্যবসায়িক ইমেইল লেখা একটি দক্ষতা। এটি শুধু ব্যাকরণ নয়—এটি স্পষ্টতা, সুর এবং কাঠামো সম্পর্কে।)

In this guide, I will teach you everything you need to know to write professional business emails with confidence. I have included 80+ essential phrases, 7 ready-to-use templates, and Bangla translations for every example. I have also added Bangladesh-specific cultural context—because email culture in Dhaka is different from email culture in London. By the end of this guide, you will be able to write emails that get results. (এই গাইডে, আমি আপনাকে পেশাদার ব্যবসায়িক ইমেইল লেখার জন্য প্রয়োজনীয় সবকিছু শেখাব।)

💡 A Lesson I'll Never Forget

That embarrassing email taught me that clarity is more important than complexity. Now, I always ask myself: "What is the one thing I need the reader to do?" I put that in the first sentence. I want to help you learn the same lesson—without the embarrassment.

📋 2. Anatomy of a Professional Email

Every professional email has the same basic structure. Here is what each part does.

1. Subject Line
Summarizes the purpose of the email. Should be clear and action-oriented.
2. Greeting / Salutation
Polite opening that addresses the recipient. Sets the tone for the email.
3. Opening Line
Polite opening that builds rapport. Often a brief mention of previous communication.
4. Body
The main content of the email. State your purpose clearly and provide necessary details.
5. Call to Action
Clearly state what you need from the recipient: a reply, a meeting, a decision, etc.
6. Closing Line
Polite closing that thanks the recipient and reinforces the next step.
7. Sign-off
Professional closing phrase like "Best regards," followed by your name, title, and contact information.
🧠 Email Structure Memory Trick

Remember: Subject → Greeting → Opening → Body → Call to Action → Closing → Sign-off.
(বিষয় → অভিবাদন → শুরুর বাক্য → মূল অংশ → পদক্ষেপের অনুরোধ → শেষের বাক্য → স্বাক্ষর।)

📌 3. Subject Lines – The First Impression

Your subject line is the first thing the recipient sees. It determines whether they open your email or ignore it. (আপনার বিষয় লাইন হলো প্রাপক প্রথম যে জিনিসটি দেখেন। এটি নির্ধারণ করে যে তারা আপনার ইমেইল খুলবে নাকি উপেক্ষা করবে।)

✍️ Subject Line Golden Rules

Keep subject lines short (5-7 words), clear, and action-oriented. Avoid vague subjects like "Important" or "Query." Be specific so the recipient knows exactly what to expect.

👋 4. Greetings & Openings – Setting the Tone

The greeting and opening set the tone for the entire email. Choose the right level of formality. (অভিবাদন এবং শুরুর বাক্য পুরো ইমেইলের সুর নির্ধারণ করে। সঠিক মাত্রার আনুষ্ঠানিকতা বেছে নিন।)

📌 Greetings (অভিবাদন)

📌 Opening Lines (শুরুর বাক্য)

📝 5. Essential Email Phrases – For Every Situation

Here are 40+ essential phrases organized by purpose. Use them to make your emails clear and professional. (এখানে উদ্দেশ্য অনুযায়ী ৪০+টি প্রয়োজনীয় বাক্য দেওয়া হলো। আপনার ইমেইলগুলি স্পষ্ট এবং পেশাদার করতে এগুলি ব্যবহার করুন।)

📌 Making a Request (অনুরোধ করা)

📌 Giving Information (তথ্য দেওয়া)

Here are 7 complete email templates for different situations. Use them as a guide for your own emails. (এখানে বিভিন্ন পরিস্থিতির জন্য ৭টি সম্পূর্ণ ইমেইল টেমপ্লেট দেওয়া হলো। আপনার নিজের ইমেইলের জন্য এগুলিকে গাইড হিসাবে ব্যবহার করুন।)

✍️ 7. Sign-offs & Signatures – Ending Professionally

The way you end your email matters as much as how you start it. Choose the right sign-off based on the formality of your email. (আপনি কীভাবে আপনার ইমেইল শেষ করেন তা শুরু করার মতোই গুরুত্বপূর্ণ। আপনার ইমেইলের আনুষ্ঠানিকতার উপর ভিত্তি করে সঠিক স্বাক্ষর বেছে নিন।)

📌 Formal Sign-offs

📌 Semi-formal Sign-offs

📌 Informal Sign-offs

📌 Professional Signature

✍️ Email Signature Best Practice

Keep your signature clean and professional. Include your full name, job title, company, and phone number. Avoid adding quotes, images, or unnecessary details. In Bangladesh, many professionals also include their designation in Bangla – this is fine, but keep it brief.

🌍 10. Cultural Tips – Email Etiquette in Bangladesh

Knowing the language is important, but knowing the culture is just as important. Here are some cultural tips for email communication in Bangladesh. (ভাষা জানা গুরুত্বপূর্ণ, কিন্তু সংস্কৃতি জানাও সমান গুরুত্বপূর্ণ। এখানে বাংলাদেশে ইমেইল যোগাযোগের জন্য কিছু সাংস্কৃতিক টিপস দেওয়া হলো।)

📞 Call Before Email
In Bangladesh, it's common to call the recipient before sending an important email. This alerts them to check their inbox and ensures they don't miss your message.
🙏 Formality Matters
In Bangladeshi corporate culture, emails are often more formal than in Western countries. Use "Dear Mr./Ms." for senior colleagues and clients. Avoid using first names unless invited.
📧 Response Times
In many Bangladeshi organizations, it's acceptable to respond to emails within 24-48 hours. For urgent matters, it's common to follow up with a phone call.
✍️ CC and BCC Etiquette
In Bangladesh, it's common to CC senior colleagues on important emails. However, avoid over-CCing – only include people who genuinely need to see the email. Use BCC for large groups to protect privacy.

⚠️ 11. Common Mistakes – Email Writing

Avoid these common errors that come from direct Bangla translation.

❌ Wrong (Literal) ✅ Correct (Natural) 💡 Why?
I am wanting to request a meeting. I would like to request a meeting. "Wanting" is not used in this way. Use "I would like" for polite requests.
I will revert back to you. I will get back to you. "Revert back" is redundant—"revert" already means "go back." "Get back to you" is natural.
Please do the needful. Please take the necessary action. "Do the needful" is a common Indianism. "Take the necessary action" is more widely understood.
I am having a doubt. I have a question. "Doubt" in Indian English means "question." In standard English, "doubt" means uncertainty. Use "question."
I am awaiting for your reply. I look forward to your reply. "Await" does not take "for." But "look forward to" is more natural and professional.
Kindly revert on the same. Please respond to this email. "Revert on the same" is an Indianism. Use "respond to this email" or "get back to me."
